Job summary

The Red Hat Global Workplace Solutions (GWS) team is looking for an Office Manager to lead the facilities operations in our Raycom office in Beijing, China. In this role, you will oversee all aspects of office management, including front-of-house and facilities services. You'll be responsible for all key performance indicators, including managing the local expense budgets, operations, and maintenance and serving as the customer relationship manager for Beijing by interacting with senior leaders in the organization. You’ll need to be able to thrive in a fast-paced work environment and be committed to contributing to Red Hat's operational success.

Primary job responsibilities

  • Serve as the main point of contact for employees and vendors regarding all local Facilities operations issues

  • Maintain relationships with relevant company associates to track and ensure resolution of any assigned tasks

  • Coordinate activities between teams and outside parties if necessary

  • Use company intranet, ticketing, and other computer-based systems and be directly responsible for the local office intranet page

  • Manage the visitor log and company lobby areas to comply with workplace health, safety, and environment policies and laws

  • Coordinate shipping and receiving of boxes and letters to and from the office

  • Direct visitors and students and manage incoming phone calls for the office

  • Interact with customers, guests, and students and serve as the first impression for our company

  • Coordinate catering and other needs for on-site training classes or customer and internal team events

  • Lead the workplace health, safety, and environment initiatives for the Beijing region, implementing global and regional programs as mandated by law or policy

  • Manage day-to-day office budgets, prepare necessary documentation for approval, ensure that monthly invoicing is completed on time, and offer analysis as needed

  • Assist in preparing the annual GWS budget for the local office

  • Negotiate directly with local vendors and manage outsourced facilities’ associates to provide services and supplies to the office and ensure that they meet agreed-upon service-level agreement (SLA) periods and KPIs

Required skills

  • Excellent written and verbal communication skills

  • Ability to maintain a professional business appearance at all times

  • High attention to detail and advanced skills in developing systems and processes for smooth office operations

  • Motivated with an ability to work with little direct supervision

  • Ability to work as part of a team and a positive approach to challenges

  • Significant amount of related work experience

  • Ability to use office applications; prior experience with Oracle is a plus
