Job summary

The Red Hat Operations team is looking for an Office Manager to join us. In this role, you will work on a dynamic team of facility operations professionals at Red Hat's corporate engineering headquarters in Boston, MA. You’ll take on team lead responsibilities, overseeing the implementation and management of programs, budgets, projects, and events related to workplace health and safety, community engagement, and office communications. Your daily tasks will vary greatly and may include of presenting, creating, and using spreadsheets, event planning, vendor meetings, processing invoices, creating and revising documentation, designing program frameworks, recruiting and training safety marshals, and much more. As an Office Manager, you’ll need to be highly motivated, team-oriented, experience-focused, accountable, striving for excellence, adapting well to frequent change, and able to promote solutions. You’ll also need to have solid time and task management skills and apply them in a fast-paced corporate environment.

Primary job responsibilities

  • Perform as the site team lead, supporting and overseeing the day-to-day operations

  • Work collaboratively with the local Facilities Operations team to develop and implement site processes and procedures

  • Engage with local, regional, and global teams to support the Global Workplace Solutions (GWS) team and other corporate projects and initiatives

  • Oversee and implement on-site office services in alignment with our GWS global guidelines

  • Evaluate services regularly to validate quality, service, and compliance for programs like the Snack and Drink Program, food service and catering, ergonomics, onboarding and offboarding, office supplies, space management (MAC), building maintenance, and office branding, design, art, and plants

  • Evaluate equipment and supplies to ensure that the spaces are in proper working order

  • Support local office events that follow our GWS Facilities Operations event guidelines

  • Communicate cross-functionally within the office, maintaining accurate and updated information on our corporate intranet about the local office

  • Coordinate regular volunteer event opportunities for our associates in Westford, MA

  • Promote community engagement, including taking care of local notifications like street closures, local discounts, vendor partnerships, etc.

  • Develop and deliver Westford GWS presentations

  • Assist local and regional management with other miscellaneous tasks as needed

Required skills

  • Maintain excellent customer service delivery at all times

  • Bachelor’s degree or equivalent work experience

  • 5+ years of related experience

  • Solid written and verbal communication skills; experience presenting and with office communications across all levels of an organization

  • Ability to maintain professional business appearance at all times

  • Attention to detail, experience in most of the listed responsibilities, and advanced skills in developing systems and processes for smooth office operations

  • Motivated with the ability to work with little direct supervision in a fast-paced corporate environment while effectively managing time and tasks

  • Ability to work as part of a team; informal leadership skills and positive attitude toward challenges

  • independent and innovative working habits

  • Initiative and willingness to find new ways of increasing the levels of services and support delivered

  • 4+ years of program or project management and implementation experience as it relates to a corporate office setting

  • Ability to use and adapt to ever-changing technology platforms and applications

  • Experience with Archibus CAFM and ServiceNow tools is a plus
