The Red Hat Portfolio Product Marketing team is looking for a Project Coordinator to join us in Raleigh, NC or Boston, MA. In this critical role, you will become an ambassador of the team, handling all incoming inquiries and managing cross-team initiatives. Reporting to the senior manager of portfolio operations while partnering with the VP of Portfolio Product Marketing, you’ll interact with other project leads, executive administrators, and program managers across the company, ensuring alignment and project coordination. On the administration side, this role manages all expenses, travel coordination, virtual and live team meeting logistics, executive and team calendars, and other work as required by the VP and their leadership team. In addition, you’ll assist with budget management, including vendor management, purchase order processing, invoice processing, procurement coordination, and budget reporting. To succeed in this role, you’ll need to have the ability to thrive in a fast-paced environment and handle both tactical and strategic implementation.
Primary job responsibilities
Represent the leaders and the company in a professional manner when dealing with associates, customers, and company executives
Partner with executives to help achieve successful teamwork and operations
Manage executive calendars on a daily and weekly basis to ensure focus on the highest priority and impact areas, collaborating with other project coordinators and admins across the company
Plan and organize domestic and international travel with detailed itinerary or necessary visas, including managing visa applications and communication
Prepare and review expense reports
Assist in managing budgets, purchase orders, and vendors
Organize and plan all aspects of events, including staff and all hands meetings, quarterly business reviews, business dinners, and team building activities or special projects
Provide on-site event support at large internal and external events, e.g., Red Hat Summit, Interlocks, Products and Technologies (PnT) Leadership Exchange, Sales Kick Off, All Product Marketing Summit, etc.
Curate our intranet team pages content, organizational charts, email lists, and other team information and internal documentation
Manage executive internal and external speaking engagements, including planning logistics, maintaining speaker bios and headshots, and coordinating with key stakeholders, including PR, AR, events team, HR team, and others
Partner with our HR team to support our team’s leadership development program, and support executive’s mentoring schedule
Proactively anticipate and address identified needs and solve challenges before they become problems
Maintain an in-depth knowledge of company operations, policies, and procedures
Effectively manage the details of highly-confidential and critical company projects and information
Perform routine administrative and logistical duties like answering calls and correspondence, filing, copying, faxing, etc.
Prepare and share notes from leadership and team meetings
Prior experience in senior-level administration, business, management, or a related field; ideally experience working in high-tech industry
Ability to handle strong personalities and a fast-paced work environment
Outstanding communication, organizational, and interpersonal skills
Solid computer skills across Google documents, Microsoft Office, and calendars, including Jiffle, spreadsheets, as well as other office productivity applications and tools
Ability to develop and maintain relationships with other executive assistants, project managers, and teams
Understanding of cross-organizational relationships among teams and how to prioritize meetings based on overall strategic priorities and relationships involved
Ability to create, edit, and review presentations
Proactive communication skills across email, chat, text, and WhatsApp
Ability to ensure the executive's calendar is properly managed to maximize the effective use of their time, as well as allocate time to critical areas as needed
Ability to prioritize your work, multitask, and meet deadlines in a fast-paced environment
Ability to exercise judgement and decision making while maintaining a high attention to detail
Reliability, accountability, and the ability to coordinate global calendars while working across numerous time zones, with availability for urgent matters outside of 9 to 5 working hours
Curiosity and a desire for continuous learning
Energetic and eager to tackle new projects and ideas
Ability to stay calm under stress
Experience monitoring and tracking impending deadlines
Ability to work on your own and display ingenuity in anticipating and handling situations that may arise
Bachelor’s degree in business administration or a related field is a plus
