The Red Hat Global Workplace Solutions (GWS) team is looking for an Office Coordinator to join us in Waterford, Ireland. In this role, you will oversee the facilities, culture, and wellness initiatives for a fast-growing engineering office. You will assist with various requests of Red Hat’s associates, serving as the main point of contact for all GWS issues. As an Office Coordinator, you’ll need to have the ability to thrive in a fast-paced work environment and be committed to contributing to Red Hat's operational success.
Primary job responsibilities
Serve as the first point of contact and first impression of our company for our customers, guests, and vendors
Direct visitors and customers, assist with employee and associate requests, and manage incoming phone calls for the office and shared regional phone queue, if necessary
Coordinate messages and appointments, relay information to callers, and perform file maintenance
Inspect front-of-house and meeting rooms on a daily basis, ensuring that all equipment is running effectively
Manage visitor log and ensure that the company area complies with the workplace health safety and environment policies and laws
Coordinate incoming and outgoing mail
Provide temporary badges, take badge photos, and distribute new hire badges
Provide support for inventory, supply stocking, and ordering of shared office supplies in accordance with our departmental program
Use company intranet and other computer-based systems; be responsible for helping update the local office Mojo pages
Monitor and track both local office and regional GWS ticketing queue and ensure a timely resolution of any assigned tasks
Provide visitors with information regarding recommended local hotels and transportation, if needed
Assist and support GWS initiatives for local office, including global or regional programs as mandated by law or guidelines, e.g., Safety Warden Program, Ergonomics, Snack and Drink Program, ISAAC, etc.
Assist with and support local physical security system and continuously follow global security policy
Assist with internal events like We Are Red Hat Week, year-end party, World Environment Day, birthday celebrations, etc.
Assist in the coordination of catering and other requirements for on-site events, training, and customer events
Assist with minor room setups in the front-of-house area
2+ years of related work experience
High performance in delivering best-in-class customer service
Excellent verbal and written communication skills
Professional business appearance at all times
Attention to detail and extensive experience in most responsibilities listed in the job description Advanced skills for developing systems and processes for smooth office operations
Motivated with the ability to work with little direct supervision
Team-focused with positive attitude and the ability to resolve challenges
